CONTRACTOR PREMIUM AUDIT CHECKLIST
Updated Oct 7, 20263 min readContractor audit guide

Build the insurance audit file before the carrier asks for it.

Premium-audit requests vary by carrier, policy, state, and business type, but contractor audits commonly pull together accounting records, subcontractor payments, certificates of insurance, and verification documents. Covrion turns those moving parts into one repeatable readiness workflow.

01

Accounting records

Keep the policy-period payment and payroll records your carrier requests—often ledgers, check registers, disbursement reports, payroll summaries, or related source records.

02

Subcontractor evidence

Maintain COIs and supporting records for subcontracted work, with attention to whether the relevant Workers’ Comp or General Liability policy was in effect during the dates being reviewed.

03

Verification documents

Be ready for carrier-specific verification such as tax forms, 1099-related records, contracts, invoices, or other documents used to validate the source records.

WHY THE GAP MATTERS

The checklist is not just about possessing documents—it is about proving the timeline.

Carrier guidance for premium audits often asks contractors to identify subcontractors, show what was paid, and provide Certificates of Insurance that cover the relevant work period. That creates a reconciliation problem: accounting activity lives in one system, certificates in another, and policy dates may span multiple terms.

Covrion does not replace the carrier’s requested audit list. Instead, it organizes the subcontractor portion of the file around payment dates, separate Workers’ Comp and General Liability evidence tracks, W-9 status, renewal history, exact uncovered payments, and a prioritized Exception Center.

THE COVRION WORKFLOW

A contractor premium-audit checklist you can operate throughout the policy year.

01

Collect the accounting source

Import a reviewed subcontractor payment report and keep the active policy period aligned to the records Covrion should analyze.

02

Attach and review insurance evidence

Store COIs and W-9s, review AI-extracted WC/GL dates, open the private source document when needed, and correct uncertain fields.

03

Work exceptions before submission

Use the Exception Center and payment-level vendor drilldowns to resolve unsupported dates, renew expiring evidence, and export the remaining work queue.

FROM FLAG TO RESOLUTION

Covrion shows what created the exception—not just that one exists.

01Prioritize the exception

Coverage gaps, renewals, document-review issues, W-9 gaps, and missing contacts land in one severity-ranked queue.

02Inspect the exact payments

Open a vendor dossier to see the specific payment dates and amounts that fall inside or outside recorded WC/GL policy periods.

03Fix the evidence trail

Review the source document, re-run extraction, correct fields, work renewals, and export the remaining exception rows for follow-up.
